ONLYOFFICE DocSpace 2.0 released: Public rooms, plugins, data reassignment, RTL UI, and more
The upgraded ONLYOFFICE DocSpace comprises lots of new useful features and multiple enhancements across the platform. Read on to discover all the updates.
Public rooms
Meet the new room type which makes work on documents with any third party much easier.
In Public rooms, you can invite users via external links to allow them to view files without registration.
Where to find: New room -> Public room
If necessary, you are able to generate multiple external links with different parameters to set various access permissions.
To secure files in a public room, apply password protection and restrict file content copy, file downloading and printing.
Besides, you can embed public rooms into any web interface via Developer Tools -> JavaScript SDK using the corresponding embedding settings. This way, users of your website or service are able to access the room files directly from the web frontend.
New features for room management
Create a room based on the files and folders from the ‘My Documents’ section. If only one folder is selected, its contents are copied to the created room.
Among further new options for working with your rooms you get:
- downloading a room;
- leaving a room and changing the room owner;
- filtering by room in Trash.
Data reassignment
From now on, you are able to reassign rooms and files stored within rooms which belong to the users with the Disabled status. The data is reassigned to the admin who is performing the operation, or it’s also possible to manually select another destination user for reassignment.
You can choose whether to delete a user or not when reassigning data. If you delete a user and reassign their data, personal files will be deleted.
Aborting the already started reassignment process is possible by clicking on the corresponding button.
Where to find: Accounts -> Profile context menu -> Reassign data
Plugins for extra features
The latest update brings the in-built system plugins which allow extending the DocSpace functionality. Such plugins can be enabled by the DocSpace owner and administrators via the Integration settings. Once enabled, the plugins are available to all users. Besides, it’s possible to create and connect your own plugins.
In the current version, there are three system plugins:
- PDF Converter to convert docs, sheets, slides, and forms to PDF;
- draw.io to create, edit, and insert professional-looking diagrams;
- Speech-to-text to convert speech from audio and video files into text.
Redesigned profile page
To make navigation within user profiles more intuitive, we organized all the personal settings into four tabs:
- Login – to track active sessions and log out if necessary;
- Notifications – to enable/disable notifications;
- File management – these settings are moved here from the left-side panel (see the screenshot below);
- Interface theme – to choose Light, Dark or system theme.
Enhancements for working with forms
The in-built form gallery which gives you a quick access to the ready-to-use form templates gets more convenient navigation thanks to the added filtering (by category, language, and name) and sorting (by name and the last modified date).
What’s more, you are now able to submit your created templates to the Form Gallery and get a reward. Please note: each submitted form is moderated by our team.
Where to find: Form file context menu -> Submit to Form Gallery
More hotkeys
The newly added keyboard shortcuts will be a good addition to the list of the existing ones.
Among new hotkeys for file operations there are:
- Copy: Ctrl+c
- Copy from OS: Ctrl+c
- Cut: Ctrl+x
- Paste: Ctrl+v
New hotkeys for Media Viewer:
- Zoom in: =/+
- Zoom out: –
Multiple updates for interface elements & layout
For more comfortable user experience, we implemented the following improvements:
- video thumbnails (when switching to the thumbnails view);
- new selector for the Move to, Copy to, Restore all, Select file dialogues;
- 2-level navigation;
- mobile view for the Appearance, Branding, SSO, Javascript SDK settings pages;
Tech stack updates
